Quotations are based on the information supplied by the customer and may change if the requirements, quantities, specifications, supplier costs, exchange rates, delivery requirements or scope of work change.
Any work, products or services not expressly included in a quotation may be quoted and charged separately.
Prices will be treated as including or excluding VAT according to what is stated on the relevant quotation or invoice.
7. Orders and Product Availability
All products are subject to availability and supplier confirmation. PCGuard cannot guarantee that an item displayed or described on the website will be available when an enquiry is submitted.
Where an item becomes unavailable, PCGuard may offer a suitable alternative, revised specification or updated quotation. The customer may decide whether to accept the alternative.
An order may be delayed or declined where stock is unavailable, a supplier changes its terms, pricing changes materially, information is incomplete or PCGuard reasonably suspects fraud or misuse.
8. Refurbished and Pre-Owned Products
Products described as refurbished or pre-owned have been previously owned or used. They may show reasonable signs of previous use, including minor cosmetic marks that do not materially affect normal operation.

9. Imported and Third-Party Products

10. Invoices and Payment

The customer must inspect delivered or collected products and notify PCGuard promptly if an item is visibly damaged, incorrect or incomplete.
12. IT Support and Technical Services
PCGuard may provide remote or on-site support, computer setup, maintenance, repairs, network assistance, software support and related technical services.
The customer must provide accurate information, reasonable access to the relevant equipment or systems and any permissions needed to perform the agreed work.
Technical work may reveal additional faults, incompatibilities, security risks or requirements that were not reasonably identifiable before work began. PCGuard will communicate material additional work or costs where reasonably practicable.
13. Remote Access
Where remote support is requested, the customer authorises PCGuard to access the relevant device or system for the limited purpose of providing the requested support.
The customer should close confidential documents and applications that are not relevant to the support session. The customer must not disclose unnecessary passwords or highly sensitive information through an unsecured channel.
PCGuard may end or decline a remote session if continuing would be unsafe, unlawful or outside the agreed service scope.
14. Customer Backups
Unless a written agreement specifically states that PCGuard is responsible for creating or managing backups, the customer remains responsible for maintaining current, complete and tested backups of important files, databases, systems and business information.
Before submitting equipment for repair, installation, upgrade or maintenance, customers should back up important information where reasonably possible.
15. Sage Accounting and Software Services
Sage Accounting, Microsoft, security software and other third-party products are subject to the relevant publisher’s licence terms, subscription requirements, compatibility requirements and support policies.
PCGuard may assist with software selection, installation, configuration, training, support, document customisation, report writing and data-related issues. The customer remains responsible for:
- The accuracy and completeness of information entered into the software;
- Reviewing reports, accounts, calculations and outputs;
- Maintaining lawful software licences and subscriptions;
- Controlling user access and passwords;
- Maintaining appropriate backups; and
- Obtaining professional accounting, tax or legal advice where required.
PCGuard does not guarantee that every corrupted file or damaged database can be recovered or repaired.
16. Web Hosting Services
Web hosting services are subject to the package, resources, limits and fees stated in the applicable quotation, invoice or service description.
Customers may not use hosting services to distribute unlawful, infringing, fraudulent, abusive or malicious content, send unsolicited bulk communications, compromise security or interfere with other users or systems.
PCGuard may suspend a hosting service where reasonably necessary to address a security threat, unlawful activity, non-payment, excessive misuse or a material breach of the applicable agreement.
While PCGuard takes reasonable steps to provide reliable hosting, uninterrupted availability cannot be guaranteed. Maintenance, network faults, security events, supplier failures and circumstances outside PCGuard’s reasonable control may affect availability.
17. Custom Software and Software Solutions
The scope, features, delivery stages, fees, support arrangements and ownership or licensing terms for custom software will be set out in the applicable quotation or written agreement.
Changes requested after approval of the original scope may affect the price and delivery timeframe and may require a revised quotation.
Third-party software, libraries, platforms and services remain subject to their respective licence terms and availability.
18. Warranties, Returns and Repairs
Applicable product warranties, return conditions and repair procedures may vary depending on the product, supplier, manufacturer, condition and nature of the transaction.
Customers should notify PCGuard as soon as reasonably possible after discovering a suspected fault and should not attempt unauthorised repairs that may affect a warranty.
PCGuard may need to inspect or test a product before confirming whether a repair, replacement, refund or other remedy applies.
Nothing in these Terms is intended to exclude, restrict or replace a customer’s rights under the Consumer Protection Act or another applicable law where those rights cannot lawfully be excluded or limited.
19. Cancellations
Cancellation rights and charges may depend on the nature and progress of the order or service.
PCGuard may recover reasonable costs already incurred for specially ordered products, activated licences, completed work or services already performed, subject to applicable law.
Any cancellation must be communicated to PCGuard as soon as possible. The applicable quotation, invoice or service agreement may contain additional cancellation terms.
20. Intellectual Property
Unless otherwise stated, the PCGuard website and its original content, layout, text, graphics, branding and design elements are owned by or licensed to PCGuard and are protected by applicable intellectual property laws.

25. Circumstances Beyond Reasonable Control
PCGuard will not be responsible for a delay or failure caused by circumstances beyond its reasonable control, including power failures, internet or network outages, supplier delays, courier disruptions, labour disputes, natural disasters, civil unrest, governmental action, cyber incidents or failures of third-party systems.
26. Suspension or Termination
PCGuard may restrict or terminate access to the website or suspend a service where a person breaches these Terms, fails to pay an amount when due, creates a security risk, uses a service unlawfully or materially misuses PCGuard’s systems.
Where reasonably possible and appropriate, PCGuard will notify the affected customer and provide an opportunity to resolve the issue.
